PROCEDURES IN APPLYING FOR A MACHINE-READABLE PASSPORT:

Step 1: Pre-processing

Send an e-mail to consular_philembassyhanoi@yahoo.com (put ‘MRP’ on the subject line) or send a fax to 39435760 (put ‘MRP’ as subject on the cover page) with copies of the following documents at least two (2) days prior to personally submitting an application for renewal of passport to the Embassy:

  1. Duly-accomplished application form Download form here
  2. Photocopy of data page of current passport and page containing visa

Make sure that the following details in the application form are filled out legibly:

NAME ( write down complete middle name)
DATE OF BIRTH PLACE OF BIRTH (as indicated in current passport)
OCCUPATION
ADDRESS IN VIETNAM
CONTACT NUMBER IN VIETNAM
ADDRESS IN THE PHILIPPINES
CONTACT NUMBER IN THE PHILIPPINES
FATHER’S NAME
MOTHER’S NAME (include maiden surname)

OR: Applicants may proceed directly to the Consular Section of the Embassy, fill-out an application form and proceed to processing. Please ensure that you have your current passport and other requirements with you.

Step 2: Processing

*ALL APPLICANTS FOR MACHINE-READABLE PASSPORTS ARE REQUIRED TO APPEAR PERSONALLY BEFORE A CONSULAR OFFICER

  1. Two days after sending your application via e-mail, proceed to the Consular Section of the Embassy with your current passport and relevant photocopies, proof of employment or residency, passport application form and three (3) pieces of passport photos (please take note of the new photo requirements).
  2. New photo requirements

    • Three (3) copies of passport-sized (4.5 x 3.5 cm) photographs taken against a royal blue background within the last 6 months.
    • Applicant’s image should occupy 70-80% of the photograph, with a 5-10 mm space at the top of the photo, between the edge and the crown/head of the applicant.
    • Photos should show applicant in decent attire, with sleeves and collar.

  3. Pay the passport fee (USD 50.00 or VND 887,700.00)

  4. A computer-generated form (CGF) with barcode will be printed-out based on the e-mail or fax message sent to the Embassy. Applicant must review the data on the CGF before putting his fingerprints and affixing his signature on the form (Important: Applicants should carefully review all entries in the computer-generated form prior to signing. Should any mistake be noted in the applicant’s personal details on the MRP once it has been released to the applicant, the applicant will have to pay anew and wait another 6 weeks for a new MRP with the correct personal details).

    Note: Applicants who are below nine (9) years of age are not required to imprint their fingerprints on the CGF. For minor applicants, the parent or guardian are required to affix their signature on the minor applicant’s CGF.

  5. Current passport and receipt will be returned to applicant. The current passport will be cancelled once the MRP has been issued to the applicant. It can be used while the MRP is being processed, provided that it is still valid.

Step 3: Pick-up

After 8 weeks, the MRP may be picked-up at the Embassy. Applicants must bring his receipt and current passport for cancellation. Applicants who do not bring their old passports will not be able to collect their new passports.

For applications received during consular mobile missions (i.e. in Ho Chi Minh City), the Embassy will mail the applicant’s new machine-readable passport only after receipt of the applicant’s current passport. The current passport will be cancelled and mailed together with the new passport.
